How to Respond to a Negative Review on Etsy
A professional review reply that stays inside Etsy's rules.
The first instinct when you see a one-star review is to get defensive. But the person who actually reads your reply most often isn't that buyer — it's the next potential customer looking at your shop. A calm, solution-focused reply takes most of the sting out of a bad review.
What to keep in mind
Start by thanking them for taking the time to leave a review, say you're sorry to see they weren't happy, and ask what you can do to fix it. Depending on the product, offering a replacement or a partial refund both work. Every line should make it clear that customer satisfaction matters to you — because other buyers will read this reply too.
One more thing: Etsy's policy prohibits offering anything to a buyer in exchange for changing or removing a review. Your reply should never include a phrase like "if you update your review" — any offer has to stand on its own, with no strings attached.

Hello [Name],
Thank you for taking the time to leave a review — I read every one carefully. I'm sorry to hear this order didn't meet your expectations; that's not the experience I want for you.
I'd love the chance to make this right — would a replacement or a partial refund work better for you? Feel free to message me directly so we can sort this out.
Your satisfaction matters to me, and I appreciate the chance to fix this.
Best regards,
[Shop Name]
How Sellereply handles this
Sellereply tells a positive review apart from a negative one, and on a negative review it never suggests asking the buyer to change or remove it — that would break Etsy's policy. The draft always stays solution-focused, and it can suggest a replacement or a partial refund depending on the product. Tell it which one you'd rather offer through the Add note field.
Every bad review is a chance — if the reply gets it right.
