How to Respond to an Order Cancellation Request on Etsy
What to ask before you cancel, and the steps to do it right.
On Etsy, a buyer can't cancel their own order — that's entirely on the seller's side. So when a cancellation request lands in your inbox, it's worth taking one step before you process it: ask why they want to cancel.
What to keep in mind
Ask the reason in your message, and check whether there's anything you can do — sometimes the issue is just shipping time and a quick explanation is enough, sometimes a small change to the order saves the sale. If they still want to cancel, go to Orders, select Cancel order, and you can add an optional note to the buyer as part of that step.
Good communication usually prevents a negative review or a support case from following — even once you've agreed to cancel, how gracefully the process is handled shapes what the buyer thinks of your shop afterward.

Hello [Name],
Thanks for letting me know. Before I process the cancellation, may I ask what happened — a change of mind, a timing issue, or something about the order itself? If there's anything I can adjust to still make this work for you, I'm happy to help.
If you'd still like to go ahead, I'll cancel the order right away and you'll receive a full refund.
Best regards,
[Shop Name]
How Sellereply handles this
Sellereply reads the order panel and factors the order's actual status — still in progress, or already shipped — into the draft. For an order that's already shipped, for example, it can suggest a different resolution instead of a straight cancellation. Note in the Add note field whether you're accepting the cancellation or offering something else, and the draft follows that.
The right question, asked in time, saves most cancellations.
